The intricate connections between Active Club Manager and QuickBooks Accounting must be set up carefully and correctly, and errors sometimes occur. The paragraphs below describe most of these, and the steps needed to correct them.

Most of these error messages appear in Manager’s Job Log, after you use the Actions menu to import or export data. (Manager also sends you the Job Log record in an e-mail.)

Setup and operation

During the setup process, Active Club Manager fails when I click “Search QuickBooks.”

Error: “Class not registered”  - or -

  The Job Log reports that Manager cannot find a registry entry for the COM object.

The Job Log reports the QuickBooks error: “QuickBooks cannot be started” or “Could not start QuickBooks.”

The Job Log reports the QuickBooks error: “This application is not allowed to log into this QuickBooks company data file automatically. The QuickBooks administrator can grant permission for automatic login through the integrated Application preferences.”

Invoice setup errors

“Error - Invoice Setup found the "…" field empty.”

Exporting customer records to QuickBooks

Error: “The name … of the list element is already in use.”

Error: “Customer … could not be updated in QuickBooks Accounting … QuickBooks error message: Cannot merge list elements.”

Error: “Multiple records with this External Reference.…”

Exporting vendor records to QuickBooks

Error: “Vendor … could not be added to QuickBooks Accounting - message: There is an invalid reference to QuickBooks Vendor Type … in the Vendors. QuickBooks error message: Invalid argument. The specified record does not exist in the list.”

Transferring inventory items

Error importing inventory: “The Inventory … has no Income Account.”

Error exporting inventory: “Inventory … could not be added to QuickBooks Accounting - message: The name … of the list element is already in use.”

Exporting sales transactions to QuickBooks

Error: “ Tax Agency is not set in QuickBooks.”

Error: “Sales Receipt … could not be added to QuickBooks Accounting: … The specified record does not exist in the list.”

Error: “Sales Receipt … could not be added to QuickBooks Accounting - message: There is an invalid reference to QuickBooks Class "… Sales Tax" in the SalesReceipt. QuickBooks error message: Invalid argument. The specified record does not exist in the list.”

Error: “Sales Receipt … could not be added to QuickBooks Accounting - message: There is an invalid reference to QuickBooks Class … in the SalesReceipt. QuickBooks error message: Invalid argument. The specified record does not exist in the list.”

Error: “Sales Receipt … could not be added to QuickBooks Accounting - message: There is an invalid reference to QuickBooks ShipMethod … in the SalesReceipt. QuickBooks error message: Invalid argument. The specified record does not exist in the list.”

Error: “Sales Receipt … could not be added to QuickBooks Accounting - message: The ‘line item rate/ratepercent’ field has an invalid value ‘You cannot set the the rate for the given sales tax item line, use the amount field instead.’”

Error: “Transaction … has not been charged - Sales Receipt will not be created.”

Error: “ Total is not in balance with QuickBooks Accounting.”

Error: “QuickBooks found an error when parsing the provided XML text stream.”

Error: “Cogs Journal Entry … could not be updated in QuickBooks Accounting - message: Cannot clear the element.…”
