Club members are calling because their Welcome e-mail was missing their user name. What’s the problem?
Club managers often forget to assign each new club member a user name before sending the Welcome e-mail. Always check to be sure that every member has a web user name before sending the Welcome e-mail, the membership data e-mail, or the bad credit card e-mail.
What is the “Suspend Date” in the Customer – Data Entry dialog?
Manager automatically enters this date when you change a membershipʼs status to 'On Hold.' If you enter a Suspend Date manually, the status changes to 'On Hold.' In this case, you should also enter a Restart Date, when the system will restore the membership to Active status.
(See Suspending a membership.)
I got an e-mail notice that one of my customersʼ membership was automatically set to “Inactive” (or “On Hold”). What happened?
Manager sets the membership status to 'On Hold' after the Suspend Date (see Suspending a membership). To resume it, set the Restart Date in the Customer record (on the Membership tab).
A membership is set to 'Inactive' after the Expiration Date. To reinstate it, remove this date from the Customer record, or set it to a future date.
Can I prevent my club members from quitting the club on line?
You can choose to permit club members to quit or change their club memberships on line, or prevent it and require customers to contact you to cancel. To turn off the permission and prevent members from quitting on line, please contact Λctiv8 technical support.
How can I manage prepaid memberships?
See Prepaid memberships.
Why can’t I select the Prepaid option in the Customer record? I get an error message.
This message appears if you donʼt enter the membership expiration date:
On the Membership tab of the Customer – Data Entry dialog, select the appropriate membership and Start and Expiration dates. (This is important because the membership is only prepaid until a specific date.)
On the General tab, check Prepaid.
See Prepaid memberships.
How do I avoid creating club shipment transactions for customers whose membership is on hold or inactive?
You don't need to do anything: the system will not create club transactions for memberships whose status is 'Inactive,' 'On Hold,' or empty.
Manager identifies any of these failed transactions by writing an error message to the Job Log.
It's a good habit to make sure that the number of club members youʼre creating transactions for is the same as the number of transactions created.
This feature does not apply to add-on sales transactions, nor to club transactions when youʼve checked Ignore Association in the Create Transaction dialog.
How do I create a report of average membership duration? Who are my most faithful members?
Search the Customer list for all active members, or members active in a specific club.
In the list, choose Membership Duration from the View menu.
