Tracking pickups

Although Manager is designed to work efficiently with packages sent through third-party shippers or fulfillment warehouses, many wineries and clubs will see most customers pick up their packages in person, for example, at a pickup party or other tasting-room event. You can keep track of these pickups either immediately, on the spot, or by creating a pickup log sheet and transferring the data to the database manually later.

Tracking pickups immediately

Tracking will-call pickups as they occur helps ensure that the correct pickup date is recorded. In Λctiv8 Manager, you can search for packages that have not been picked up and change their status to 'Picked Up.'

  1. In the Transaction list, select a Quick Search for 'Sales to be picked up.'

  2. From the View menu, choose Shipping Tracking.

  3. Select the customers who have picked up their merchandise.

  4. From the Actions menu, choose Shipment : Change Status : Change 'Not Picked Up' to 'Picked Up.'

To mark the package to be held for pickup later, choose Change 'Not Picked Up' to 'Hold for Pickup.' Manager will mark the package as held, and will not force shipping after the scheduled pickup date has passed. Once the customer picks up the package, you can repeat this step with Shipment : Change Status : Change 'Hold for Pickup' to 'Picked Up.'

Users of Λctiv8 POS can perform the same task with the Pickup List (on the Order History tab).

Tracking pickups with a list

If you donʼt have access to Λctiv8 Manager or the POS to record picked-up packages immediately, you can keep track of them with a printed log, and later update their records manually in a batch. You can create the log sheet by printing a list of packages that have not been picked up.

To print a pickup log sheet:

  1. In the Transaction list, select a Quick Search for 'Sales to be picked up.' You can adjust the date range as needed.

  2. From the View menu, choose Signature List or Pick Up List. Sort the list as needed (e.g., by last name).

  3. From the Edit menu, choose Select All.

  4. From the Output menu, choose Print.

Manager prints the list of packages that have not been picked up, which you can use to keep track of customer in-person pickups. If this list doesnʼt meet your needs, contact Λctiv8 support for help creating a suitable customized report.

To update transactions from the log sheet, follow the steps above for changing their status to 'Picked Up.'
